Bridgend Summer School Terms and Conditions
These Terms and Conditions apply to all bookings made for the Bridgend College Rugby Camp and the Animal Care and Conservation Camp. By completing a booking, parents, guardians, carers and participants agree to be bound by these terms and conditions.
1. Booking, Viability, and Refund Policy
1.1 Spaces on our summer academies are strictly capped to ensure safety, regulatory compliance, and a high-quality educational experience. Academy spaces are limited to 30 participants per day for the Rugby Academy and 12 participants per day for the Animal Conservation Academy.
1.2 Because sessions rely on factors including staffing ratios, facility allocations, and pre-ordered resources, all bookings are non-refundable. If a participant fails to attend a pre-booked session for any reason, no refund can be given.
1.3 Bridgend College will make reasonable efforts to accommodate requests to reschedule a booking to an alternative day. However, rescheduling is strictly subject to space availability and cannot be guaranteed.
2. Minimum Enrolment Thresholds and Cancellation by the College
2.1 To deliver a viable, interactive experience, all academies require a minimum attendance threshold of 50% capacity every day to proceed.
2.2 Bridgend College reserves the right to cancel specific days if this 50% minimum threshold is not achieved.
2.3 The college will review bookings and will notify participants if a session (day) needs to be cancelled at least five days prior to the day. If the college must cancel a session due to low registration numbers, a full refund will be issued to the original payment method within fourteen business days.
2.4 Specifically for the Rugby Academy, and in compliance with WRUsports governing body regulations, mixed-gender competitive contact is not permitted for participants over the age of 11. Therefore, the scheduling of female-specific matches and fixtures is strictly dependent on securing a viable number of female registrations. If registration numbers do not allow for separate fixtures, alternative skill-development or non-contact training rotations will be provided instead.
3. Weather Conditions
3.1 Our academies include practical learning which can include being outdoors. Sessions will go ahead regardless of weather conditions, including rain, wind, or heat, provided conditions remain safe.
3.2 Participants should arrive with appropriate clothing and protection for the forecast weather. Refunds will not be issued if a participant chooses not to attend due to inclement weather conditions.
4. Clothing, Footwear, and Safety Equipment Requirements
4.1 Participants must adhere to the specific clothing requirements of their chosen academy to participate in practical sessions. These requirements are in place to safeguard the health, safety, and physical wellbeing of all participants.
4.2 For the Future Generations Animal Conservation Academy, participants must wear clothes that cover the arms and legs fully to protect against environmental hazards, undergrowth and insects. Sturdy outdoor boots or wellington boots are mandatory. For health and safety reasons, canvas shoes, trainers and open-toed sandals are prohibited.
4.3 Bridgend College reserves the right to refuse admission to practical sessions if a participant is wearing inappropriate clothing or footwear. In such cases, no refund will be provided for the lost session time.
5. Health, Safety, and Medical Disclosures
5.1 Parents, carers or guardians must provide accurate, comprehensive details regarding any medical conditions, allergies, dietary requirements, or Additional Learning Needs during the online booking process.
5.2 A qualified first aider will be available on site during academy hours. By agreeing to these terms, parents, carers, and guardians grant permission for certified college staff to administer first aid treatment to participants if required.
5.3 Academy staff cannot administer prescription medication to children. Participants who require self-administered medication (such as asthma pumps or inhalers) must be capable of doing so independently. Parents, carers or guardians must disclose all such medication requirements to the college during the online booking process.
5.4 In accordance with the Bridgend College Safeguarding Policy, all summer academy programmes strictly adhere to college safeguarding protocols.
5.5 In the event of a medical emergency requiring external care, college staff will make immediate contact with the designated emergency contact. If contact cannot be established, staff will authorise emergency medical treatment as advised by healthcare professionals.

6. Code of Conduct
6.1 If a participant exhibits disruptive, unsafe, or non-compliant behaviour that compromises the safety or enjoyment of others, academy management reserves the right to suspend or permanently terminate their placement.
6.2 If a participant is excluded from an academy due to behavioural issues, a parent, carer or guardian must arrange immediate collection from the Pencoed Campus. No refunds will be granted for any remaining sessions under the booking.
7. Food and Refreshments
7.1 Complimentary refreshments will be provided throughout the day to keep participants hydrated and energized. It remains the responsibility of the participant to communicate any specific allergies when receiving refreshments.
7.2 All participants are required to bring their own refillable water bottle to use at our campus water stations throughout the day.
7.3 All participants must bring a packed lunch – it is recommended that this is kept in an insulated bag as the college cannot provide refrigerated storage for participants.
8. Liability and Property Protection
8.1 Bridgend College does not accept responsibility for the loss, theft or damage of personal belongings, electronic devices, sports equipment, or clothing brought onto the Pencoed Campus by participants.
8.2 The college holds public liability insurance coverage standard for an educational institution. Nothing within these terms seeks to exclude or limit liability for personal injury or death caused directly by college negligence.
